How to Get Explicit Opt-in Consent From Existing Contacts?

Regulations such as the General Data Protection Regulation (GDPR) require that you have explicit consent from your contacts before you send them emails.

Soffront provides a convenient way to request a reconfirmation of consent from your existing contacts. Soffront will record the date the consent is given.


Note

The Email Status field of contact represents the latest consent status for the contact. There are four statuses that are important for this article –

  • Unknown – the contact has not agreed to receive your emails.
  • Opted-in Confirmed – the contact has explicitly agreed to receive your emails.
  • Opted-in – you have marked the contact as opted-in, but the contact has not explicitly agreed to receive your emails.
  • Opted-out – the contact has opted out of your emails.

In general, you can use Soffront to send emails to both “Opted-in Confirmed” and “Opted-in” contacts. However, we strongly recommend that you send emails ONLY to the contacts who explicitly gave their consent to receive your emails.


 

In this article, we will show you how to build a campaign that asks your contacts to reconfirm that they want to receive your emails.

You can build the campaign using a convenient pre-built template or from the scratch if you need more control over the design of the email.

Using the Pre-built Marketing Template

To use the pre-built marketing template to build the campaign,

  • Go to Email Marketing -> Broadcast Campaigns and click on Add option.

  • When prompted to select a template, choose the Category Newsletter and start typing in Email Consent Confirmation to find the template.
  • Change the logo and content of the email.
    Note – Do not change the section of the email. This section will change into a button when the email is sent.
  • When your contact receives the email, she /he will see a button to confirm that she /he wants to receive your emails.
  • When your contacts click the button to confirm, Soffront will update two fields in their contact record –
    • Email Status field – Will be changed to Opted-in Confirmed.
    • Opt-in Date field – Will be changed to the date and time the contact clicked the button.

Note:  The green button will not function when you TEST the template, it will be clickable when you actually send or execute the campaign/email.

Building the Email From Scratch

You can choose not to use the pre-built template. Soffront lets you insert a special link into any marketing template, broadcast, or automated campaign. The special link would let the recipient of the email reconfirm that they want to receive your emails.

  • Start creating your campaign just as a regular email campaign in Soffront.
  • To add the link, click the spot where you’d like to add the link and go to the Personalization menu. Choose Opt-in Link from the menu.

  • Soffront will add a tag in the spot that you clicked. The tag will show [Start Opt-in Link] Enter your display text [End Opt-in Link].

  • You can change the Enter your display text portion of the tag. This is the portion that will be visible in the link.

  • When you send out the email, Soffront will convert the tag to a hyperlink.
  • Once the email is ready, send it to your contacts as a broadcast or automated campaign.
  • When your contacts click the link and confirm their consent, Soffront will update two fields in their contact record –
    • Email Status field – Will be changed to Opted-in Confirmed.
    • Opt-in Date field – Will be changed to the date and time the contact clicked the button.
