User permissions using security levels

Security levels describe the distribution and management of user and group privileges. You will learn how to customize privilege sets to accommodate the varied needs of different user groups and assign privileges to group levels.

For example, Admin will have access to all settings and configurations in your Soffront Online. Whereas Sales, Marketing, or users with other security levels will have access to modules and applications which they have permission for.

Note:  You must be using the primary admin account of your CRM to perform the below steps.

To Setup Security Level follow the steps below.

  1. From the home page click on Settings.

2. Click on Security Settings under User and Security.

You will see six (6) Security Levels:

  1. Admin
  2. Import/Export
  3. Manager
  4. Marketing
  5. Sales
  6. Support

Note: To find the security level of a user, click on the user link under User and Security level.

3.  Click on any level to see the default rights.

4. Each Security Level is divided into two sections:

  •  Access
  • Permissions
  •  Operations
  •  Administration

You must review the capabilities of each level and the rights in those levels. Your business model will determine who will get what Security Level and what rights within that Security Level.

Setup Security Level Access

Security level access helps you set up access to different records in Soffront CRM

  • Record Names: The left-hand column shows the name of the records
  • Views: The dropdown for the view defines what records the user can see. For this example, let’s use the account record
  • All Accounts: The user will have access to all accounts in the system
  • My Accounts: Accounts assigned only to the user.
  • Manager Accounts: Accounts assigned to the Manager.
  • No Records: The user will not be able to see any accounts.
  • Check the box beside Create, Edit, and Delete for permission.

 

Permissions

Click on the checkbox beside each operation and Administration records to provide access to the user group

Manage Users: This permission allows users to manage (create/edit/delete) users from the User Manager page.

Design Forms: This permission allows users to modify forms, add custom fields, and custom marketing sources.

Upload Logo: This permission allows users to replace the logo by uploading a custom logo.

Manage Filters: This permission allows you to manage (create/edit/delete) filters from the Filters page under Settings.

Add to Lists: This permission allows you to manage (create) items for lists.

Manage Security Levels: This permission allows users to modify the privileges and permissions of various security levels.

Design Workflows: This permission allows users to modify the different workflows available or add new workflows.

Manage Integrations: This permission allows you to manage the configuration with different applications with which you can integrate your Soffront account data.

Manage Reports: This permission allows you to manage (create/edit/delete) reports from the Sales Report page under the Sales Module.

 

Operations

Import Records: This permission allows users to Import Accounts and Contacts from various resources such as. CSV file, Excel file, Gmail.

Batch Delete: This permission allows users to perform a delete operation on multiple records at a time using the Delete icon available in the left panel of the list view.

Manage Templates: This permission allows users to manage (edit/delete) email templates and SMS templates.

Setup Lead Scores: This permission allows users to set up lead scoring for Accounts and Contacts.

Batch update: This permission allows users to modify multiple records at a time using the Edit icon available in the left panel of the list view.

Merge Records: This permission allows users to perform a merge operation on 2 records using the merge icon available in the left panel of the list view.

Export Records: This permission will allow users to export records from CRM to Excel or CSV files using the Export to Excel operation from the list view or through the Export operation from the Settings page.

Manage Assets: This permission will allow users to access the “Library” page under the desktop menu.
