Assignment Rule

An assignment rule in Soffront is useful to define a sales rep to whom leads are assigned based on the specified criteria. It is Important while importing and assigning more leads in CRM, you can define an assignment rule to those records based on which they will be distributed among your sales reps automatically. It is only applicable to Account records.

How to Setup an Assignment Rule?

1) Navigate to Sales -> Accounts -> Accounts Home

2) Then click on the Add button at the right-hand side of your Accounts Home screen

 

3) Click on Sales Rep field and select Setup Assignment Rule option from the list.

4) On the Assignment Rule setup page, click on Add button to create a new Rule.

5) On the Rule creation screen, you will find the below options.

 

  • Name: Type in the Rule Name
  • Status: Active Rules can only be applied to the database.
  • Table Name: You can create a rule for a table like Account, Cases, etc.
  • Click here to add a field to the filter: Here you can choose a field name from the list and add a specific value that is present in your database to create a filter.
  • Sales Rep: You can select the Sales Rep to whom you want to assign imported leads.

6) After setting up an Assignment Rule, click on Save. The new Rule will appear as below:

 

The above picture shows two separate assignment rules being created based on the different country type and each of them is assigned to a different sales rep. So Leads will be distributed between two different sales reps based on their different assignment rules.

How to Use the Assignment Rule?

You can create and use the assignment rule in three different ways:

1) Use the Assignment Rule while adding a new Account:

2) Use the Assignment Rule while Importing bulk Accounts records:

Navigate to Sales -> Accounts -> Accounts Home. Then click on the Add button at the right-hand side of your Accounts Home screen. After that click on Import option and go to the Sales Rep field.

3) Use Assignment Rule while batch Assigning lead records to the sales rep:

How to Delete Assignment Rule?

1) Navigate to Sales -> Accounts -> Accounts Home

2) Then click on the Add button at the right-hand side of your Accounts Home screen

3) After that click on Enter by hand option and go to the Sales Rep field.

 

4) Click on Sales Rep field and select Setup Assignment Rule option from the list.

5) On the Assignment Rule setup page, Select an existing Assignment Rule from the list and click on the Delete button (See below):

 

Note: If you delete an assignment rule, it won’t affect the existing records which are already being assigned to the previous sales rep.
