Add a New Workflow

A new Workflow can be added for any table. Simply define process stages with the relevant tasks corresponding to each stage. The start time for tasks can be defined by using the time intervals from the previous task or from the Create Date

Here we will see how to create a new workflow

1. Click on  Add on the workflows page.

  • Tables: Select a table name from the drop-down list. The drop-down list contains all available tables in Soffront CRM.
  •  Name: Assign a Name to the workflow.
  • Status:  You can set the status as active or activate it later on.

Note: You must have at least one Active workflow for an object.However you can still perform all the operations on the records of different objects which has inactive Workflow.

2. Click on   to add Stages to the workflow. Stages can be Prospect, Suspect, Customer, etc.

3. Select Account stage from the drop-down then click on save to add the stage to the workflow

  • Users can also move stages around to fit their workflow by dragging and dropping.
  • Each stage can be edited by clicking on the pencil icon. You can remove any stage by clicking on the X button

4. After adding a stage the task bar appears. The User has the option of adding tasks which will be executed in the process of the workflow.

5. Click on  to add a new task to the task bar. New task form opens. Follow the steps below to create a new task.

  • Task name: Assign a task name which describes the task best.
  • Owner: Select a sales rep from the dropdown list.
  • Due By: Here you can add the number of days or the number of hours the task in due in.
  • After: Here you can select from the option when the task will be executed. The task can be executed after Previous task is done or it can be executed on the day you create it.
  • Reminder: Users can opt to get a reminder for the task through Email or Pop-up
  • Notify Sales rep: Check it if you want the assigned sales rep to get email notification on completion of the task.
  • Then click on save to add the task to the list.

Once the tasks are created you will find two new options for each stage to convert to the next stage. Refer to the image below:

If the manual radio button is selected then the conversion will work as it used to work currently.

If the “automatically” option is selected for that stage, after all the tasks of the stage are marked as done, it will automatically get converted. The conversion will do the following:

  • The record will be moved to next stage.
  • The next tasks will be created.
  • The note that gets added for the conversion will be added.

6. On Workflows page click on Refresh to refresh workflow list. Your newly added Workflow will show up on the list.
